Dosign Privacy Statement

Reading Guide

This privacy statement consists of two parts: the first part applies exclusively to freelancers and potential temporary employees (section 1), and the second part applies exclusively to employees or representatives of (potential) clients, suppliers, and other businesses (section 2).

  1. Data processed by Dosign concerning freelancers and potential temporary employees

Dosign processes personal data to fulfill its mission—education, secondment, mediation, recruitment, and selection of personnel. The premise for processing your personal data is that you voluntarily provide Dosign with this data solely for the purpose for which you provided it, namely:

a. to comply with applicable laws and regulations;

b. to establish and maintain a temporary employee/employer relationship or a client/contractor relationship with you, including the administration of personnel, financial, hours, absence, and/or payroll, or to establish and maintain a relationship aimed at acquiring/executing assignments, including (financial) administration;

c. to evaluate your suitability for a specific position or assignment, record your availability, and introduce or propose you to one or more (potential) clients;

d. to conclude agreements with you or our clients, execute and comply with them;

e. to fulfill our reintegration obligations regarding temporary employees;

f. to inform you about and engage third parties through conversion optimization regarding our services, other activities, and/or professional content (for example, via (CRO) campaigns, email, newsletters, company magazines, and professional literature) and to make offers to you on behalf of Dosign;

g. to generate management information, conduct market analyses, carry out (internal and external) checks, audits, and accounting audits, and promote and maintain company security;

h. if applicable, to have an external party validate the identification document you provided and/or perform screening.

You provide your data by sending us your CV and other relevant data via email or another medium.

Your personal data is handled and secured carefully in accordance with the Dutch Personal Data Protection Act (Wet Bescherming Persoonsgegevens) and its successor, the General Data Protection Regulation (GDPR).

Dosign processes the following data, among others: Name and address details, email address, telephone number, contact details, nationality, date and place of birth, gender, marital status, CV, work experience, bank account number, policy or customer number of health insurer, education and training details, (copies of) diplomas, references, (copies of) passport photos, (copies of) ID documents, Citizen Service Number (BSN), (copies of) work permits, and (copies of) residence permits.

Dosign may transfer your personal data to its (potential) clients, suppliers (e.g., educational institutions), audit institutions, government agencies, subcontractors, and companies and/or persons it has engaged to perform specific tasks (including processors). Furthermore, Dosign may provide your data to third parties if required or authorized by applicable law and/or regulations, a court order or ruling, or with your consent. Additionally, Dosign may, with your consent, post your profile or CV, anonymized or otherwise, within a secure section of its website(s) and client portals.

Dosign retains your personal data no longer than necessary for the purposes for which the data was collected and complies with applicable laws and regulations in this regard.

2. Data processed by Dosign concerning employees or representatives of (potential) clients, suppliers, and other businesses

Dosign uses personal data received from employees or representatives of (potential) clients, suppliers, vendors, and other companies or institutions for the following purposes:

a. to enable you to use our services and/or allow us to use your services;

b. to establish and maintain a business relationship with you;

c. to agree upon and/or execute assignments;

d. to inform you about our services and other activities (for example, via email, newsletters, and company magazines) and to make offers to you;

e. to comply with applicable laws and regulations.

Dosign processes the following data, among others: (Business) name and address details, date of birth (optional, to the extent provided), email address, relationship management details, and position and contact details.

Dosign may transfer the personal data of employees and representatives of (potential) business relations to third parties if this is necessary to perform its services. Dosign may also provide your data to applicants/candidates and employees, suppliers (e.g., educational institutions), audit institutions, government agencies, subcontractors, and companies and/or persons it has engaged to perform specific tasks (including processors). Furthermore, Dosign may provide your data to third parties if required or authorized by applicable law and/or regulations, a court order or ruling, or with your consent. Additionally, Dosign may, with your consent, publish your company profile or job vacancies, anonymized or otherwise, on its website and/or make them public.

Dosign retains your personal data no longer than necessary for the purposes for which the data was collected and complies with applicable laws and regulations in this regard.

Security

Dosign makes every effort to implement appropriate organizational and technical measures to secure your personal data against unlawful processing and/or loss. Employees of Dosign who have access to your personal data are bound by a confidentiality clause.

Despite the security measures we have implemented, it is possible that third parties may circumvent these measures and/or misuse your personal data for improper purposes. Dosign can never be held liable in any way for this.

Liability

Dosign’s liability for indirect damages, including consequential damage and loss of income, is excluded in all cases. Any potential liability is further limited to a maximum of €1,000 per incident and a maximum of €10,000 per calendar year. Moreover, Dosign’s liability shall never exceed the amount covered and paid out by its insurance in the specific case.

Right of Access

You may request information regarding the data we process about you at any time by contacting [email protected] or by mail (Dosign, Attn: Legal Department, Fascinatio Boulevard 258, 3065WB Rotterdam, Netherlands). You may also request to supplement, correct, or delete your data at any time using the same procedure described above. We aim to respond to your request within one (1) month of receipt.

Modification of Privacy Statement

Dosign may modify its Privacy Statement. The latest and most current version of the privacy statement is always available on the Dosign website.

Acceptance of Privacy Statement

By accepting the aforementioned privacy statement, you expressly and unequivocally agree to all its provisions until written revocation.
